Invoice and Bill Payments

Forward a bill, review it, approve it, schedule the payment.

Swipey's Payouts feature lets you manage and pay your business invoices and bills directly from your dashboard — locally and internationally. Forward your bills, review the details, schedule payment, and Swipey handles the rest. No more manual transfers or missed due dates.

Payments supported: Local bank transfer, JomPay, and international (foreign) disbursement.

Step 1: Forward Your Bill to Swipey

Send your invoice or bill as an attachment to bills@swipey.co from your registered Swipey email address. Swipey will automatically read and capture the bill details and surface it in your Payouts section.

Things to know about bill capture:

  • You can send up to 10 invoices in one email.
  • Only send invoices or bills — EPF statements, salary slips, and payroll reports will not be processed.
  • Bills must be sent from a registered Swipey email address. Bills from unregistered addresses will not be processed.
  • Processing usually takes 5 minutes but can take up to 2 hours.

Step 2: Review Your Bill

All captured bills land under Pending Review in your Payouts section. Click on the bill to open it and check that the following details are correct:

  • Vendor name
  • Amount and currency
  • Vendor bank details

If it's a new vendor, you'll be prompted to add their details to your Vendor Master List. Once saved, their banking details will be auto-populated the next time a bill from the same vendor is received.

If it's a returning vendor, all details will be pre-filled automatically.

Once everything looks correct, click Mark as Reviewed to move the bill to To Approve.

Step 3: Approve the Bill

In the To Approve stage, the appropriate person in your company reviews and gives the final sign-off before payment is scheduled. Click on the bill and click Approve — or select Scheduled from the status dropdown.

Step 4: Schedule Payment

Select a Pay On Date — this can be today or any date in the future. Once scheduled, the bill amount will be deducted from your Master Account to ensure payment goes through uninterrupted.

Payment processing times (local):

Payments are not processed on weekends or Malaysian public holidays. For international payments, allow 1–3 working days.

You can cancel a scheduled bill at any time before the Pay On Date. Funds will be released back to your Master Account immediately.

Step 5: Set Up Vendor Receipt Notifications (Optional)

Once a bill is paid, Swipey can automatically email the payment receipt to your vendor.

Go to your Vendor list

In your dashboard, click on your company profile (bottom left) and select Vendor.

Update vendor details

Select the vendor from the list. In the panel that opens, enter their email address and make sure the Share Receipt toggle is turned on. Click Update Vendor.

Your vendor will now automatically receive a payment receipt by email every time a bill is paid to them.

Common Questions

How many bills can I pay per month?

This depends on your plan — Freemium and Growth include 5 automatic bill payments per month, Plus includes 8. See plan comparison →


Can I pay salaries through Payouts?

Yes — bulk payments including salary payouts are supported via local bank transfer.


What happens if my Master Account doesn't have enough funds when a bill is scheduled?

The bill will not be processed. Always ensure your Master Account has sufficient funds before scheduling payments.


Can I edit a bill after it has been scheduled?

You can cancel the scheduled bill before the Pay On Date and resubmit with the corrected details. Once the Pay On Date arrives, the bill is locked and cannot be changed.


What if my bill is rejected?

Check the reason in the Rejected column. Common causes are incorrect bank account details or insufficient funds. Correct the details and resubmit.


Will my vendor know their payment is coming?

Yes — if you've set up vendor receipt notifications, they'll receive an email confirmation automatically once the payment is disbursed.
